AI App to Reduce Worker’s Burden

The Problem
Employees at talent and management agencies are grappling with a multifaceted challenge that involves effectively juggling client relations, artist bookings, administrative duties, and maintaining a healthy work-life balance.
The current workflow lacks a streamlined system, resulting in a disjointed communication process, missed opportunities, and increased stress. It also presents obstacles in maintaining boundaries between work and personal life, leading to burnout and decreased job satisfaction.
This app will empower employees to establish a sustainable work rhythm, cultivate improved work-life balance, enhance their ability to nurture talent, and foster strong industry relationships all by harnessing the power of AI.

Color Palette
This palette is meant to evoke a feeling of security, professionalism, and trust. I wanted the users to feel at ease while using the product, while also feeling a sense of security.
Typography
Quicksand is a legible and rounded sans serif font that made the product feel unique, trustworthy, and friendly.
More Hi-Fi Screens
These screens feature auto-reminders, providing users with notifications about when a call sheet will be sent automatically. Additionally, users can review a sample text before it is sent, and emails can be seamlessly imported into the app for accuracy checks.
This flow also reduces a 30-40 minute task into 30-40 seconds!

What is out there now?
I researched companies that streamline workflows for all kinds of industries and businesses.
I did an in-depth analysis of Microsoft Teams, Google Workspace, and Slack to discover their strengths and weaknesses as well as their differences and similarities.
After analyzing these discoveries, I realized that these applications were geared more toward productivity, so I did another round of analysis with Calendly, Zenefits, and Shop Pay to research companies that help by making tasks easier.

Semi-Structured Generative Interviews
I interviewed 5 people who work at talent and/or management agencies or have worked in the industry in the past.
I showed them some quick sketches of possible solutions and asked them which was their favorite and why.
I was able to culivate empathy and quickly understand the solution that was preferred among interviewees.
Crazy 8’s facilitates divergent solutions to cultivate innovation.

After research, I went on to create a feature priority map to gauge where my efforts needed to be.

The sitemap illustrates the possible structure of the app and the flow indicates the possible ways an agent or an assistant can go about making a call sheet.
Lo-fi Wireframes for Key Screens
Initially, GigGenius was conceptualized with the idea of employing a Chat Bot to execute commands and keeping tasks within the app straightforward for both assistants and agents. This included call sheet templates and job tracking.
Prototyping & Testing
After creating version 1 of the Hi-Fi wireframes, I made a prototype and conducted a usability test on Usability Hub with 5 participants. Testers were asked to review a call sheet, send a call sheet to an artist, and view an artist’s profile. The feedback I received from these tests was invaluable to my design process. I was able to make necessary changes that came directly from potential users.
Successes & Improvements
I created an affinity map to synthesize the feedback I received and then made the necessary changes to my Hi-Fi designs.
Final Thoughts & Next Steps
This project provided me with invaluable experience in effectively managing tight time constraints while creating a brand-new product from inception to completion. I honed my ability to harmonize the research and design phases, thoroughly allocating time to each step of the process. Furthermore, I gained insight into tailoring a product for a niche industry by maintaining consistent communication with prospective users. Fortunately, my background in the industry I was designing for gave me a solid foundation, facilitating each phase.
